The Administrative Assistant Role

We are seeking a detail-oriented and proactive Administrative Assistant to support the Quality, Risk & Security (QRS) function within the Audit & Assurance practice. The role involves providing administrative and operational support across QRS function and related workstreams, including Engagement Quality Review (EQR), compliance monitoring, documentation management, and other administrative responsibilities. The role requires strong coordination skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, professional environment.

Key Responsibilities:

1. Support to QRS Function:

  • Provide day-to-day administrative support to the QRS team including scheduling, documentation, and coordination.
  • Assist in the preparation and distribution of QRS communications, reports, trackers, and dashboards.
  • Maintain accurate records of QRS activities, guidance documents, and function-level files.

2. Engagement Quality Review (EQR) Support:

  • Update the assignment of EQR reviewers across engagements on the tool.
  • Support the monitoring and follow-up of EQR status and deliverables.
  • Assist in compiling data for EQR performance and compliance reporting.

3. Workflow & Administrative Task Management:

  • Maintain trackers and dashboards for various QRS workstreams including EQR.
  • Schedule and coordinate team meetings, trainings, and workshops including logistics, invitations, and minutes.
  • Prepare presentations, spreadsheets, and templates as requested by the QRS leadership.

4. General Office Support:

  • Support internal reviews, data requests, and compliance checks by gathering required information.
  • Provide ad-hoc support to related workstreams, including risk management and policy compliance.
  • Manage internal communication distribution and follow-ups.

Qualifications and Skills:

  • Bachelor’s degree in business administration or a related field preferred.
  • 2–4 years of experience in an administrative or coordinator role (experience in professional services is a plus).
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook); familiarity with SharePoint and data tracking tools is an advantage.
  • Ability to work independently while supporting multiple stakeholders.
  • Discretion and professionalism in handling confidential information.
