The role of the Senior Offer Management Specialist involves overseeing the entire offer letter and new hire employment contract process for all businesses. This includes responsibilities such as drafting, reviewing, and extending offer letters and employment contracts to new hires. Your role is crucial in ensuring that offer letters and employment contracts are always up-to-date, compliant with regulations, and reflective of our commitment to excellence in talent acquisition.

Role Dimensions:

Offer Letter and Employment Contract Management:

  • Draft, review, and extend offer letters and employment contracts to new hires.
  • Maintain a central repository of offer letter and employment contract templates for all businesses across the region.

Quality Assurance:

  • Implement quality control measures to guarantee that all offer letters and employment contracts align with company branding, compliance standards, and best practices.
  • Develop and execute regular compliance audits of offer letters and employment contracts, ensuring that they adhere to local labor laws, company policies, and industry best practices.
  • Oversee the timely delivery of offer letters and employment contracts to new hires, ensuring they receive the necessary documentation promptly within the agreed service level agreements.

Compliance and Documentation:

  • Ensure all offer letters are compliant with local labor laws, company policies, and industry best practices.
  • Maintain a comprehensive record-keeping system for offer letters and related documentation.
  • Support audits by providing accurate and up-to-date offer letter and employment contract records.
  • Document standard operating procedures (SOPs) and best practices for offer letter management to ensure consistency.

Process Improvement:

  • Identify opportunities to streamline and enhance the offer letter management process.
  • Implement improvements to increase efficiency, accuracy, and the overall candidate experience in regard to offering.

Cross-Functional Collaboration:

  • Collaborate with HR team members, Legal, Finance and other departments to resolve or update any offer-related issues promptly.

Training and Development:

  • Train and onboard new HR team members on offer letter creation and related processes.
  • Stay updated on industry trends, employment laws, and regulations related to offer letters.
  • Lead and mentor a team of Offer Management Specialists, fostering a collaborative and high-performing environment.

Projects:

  • Contribute to various organizational projects as needed.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • 5+ years of experience in Human Resources Operations, with hands-on experience in offer letter and employment contracts management (preferably in a multinational firm).
  • Understanding of local labor laws and employment regulations.
  • Proven track record of effectively collaborating with HR leaders to align on the varying terms and conditions of job offers across different countries and regions
  • Excellent attention to detail and organizational skills.
  • Proficiency in ATS (Applicant Tracking Systems)
  • Exceptional written and verbal communication skills.
  • Ability to work independently and collaborate effectively in a team-oriented environment.
  • Strong problem-solving and analytical abilities.
