Job Description: Learning and Development (L&D) Associate/ Experienced Associate
Key Roles & Responsibilities:
Role Overview
We are seeking a detail-oriented and proactive Learning & Development (L&D) Operations Associate to join our team. This role is pivotal in supporting the logistical and administrative execution of learning programs across the organization. The successful candidate will work closely with L&D Business Partners (L&D BPs), vendors, and internal stakeholders to ensure seamless delivery of both classroom (in-person), virtual & digital learning initiatives.
Key Responsibilities
Learning Programme Coordination & Administration
- Create, maintain, and update a program roster for all planned programs to ensure accurate and real-time status.
- Develop and manage detailed program checklists, proactively tracking each step to ensure timely completion.
- Support L&D BPs in calendar and invite management, including sending invitations to learners, facilitators, and stakeholders, tracking acceptance, and following up as necessary.
- Coordinate with vendors for quotations, proposals, logistics, and finalization of Business Relationship requests.
- Collect, organize, raise and securely save all relevant documentation such as contracts, proposals, purchase requests, invoices, and approvals.
Learning Logistics & Event Support
- Assist in venue booking, material preparation incl. printing needs, ordering stationary/ materials and goodies, and managing food specifications considering participant nationalities.
- Coordinate transportation logistics such as air & ground travel services based on participant surveys.
- Liaise with administrative teams to ensure timely updates on travel sheets and programme schedules.
- Create and manage communication templates for pre- and post-learning communications.
- Set up communication channels/ groups and pre-programme surveys to facilitate participant engagement.
- Provide on-the-ground support during classroom sessions, including attendance tracking and issue escalation.
- Support virtual learning sessions by managing invites, Zoom links, attendance, technical assistance, and chat moderation.
Post-Programme Activities
- Distribute post-session materials, survey links, and session recordings.
- Update attendance records and save all learning materials in designated folders.
- Send thank-you communications to facilitators and participants.
- Administering the Policy & Query, Expenses management processes
- Respond to queries related to learning policies, certification allowances, and reimbursement processes.
- Support the nomination process and participant communication for various learning programs.
- Handle certification tracking and completion status reporting.
Reporting & Compliance
- Maintain accurate learning databases and generate completion status reports.
- Track mandatory learning compliance, including Risk learning curricula for new joiners across the business.
- Send reminders and escalate incomplete learning cases (incl. Risk & Compliance) to the relevant BPs, leadership teams such as business and People & Purpose.
- Coordinate with Risk and Audit teams to ensure training compliance and reporting accuracy.
- Prepare and submit quarterly headcount reports for legal and government compliance.
- Support central learning courses, member firm-wide initiatives, and related communications.
Required Skills & Qualifications
- Bachelor’s degree or equivalent experience in Business Administration, Human Resources, Education, or related field.
- Strong organizational skills with keen attention to detail.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite & Data management (Excel, Outlook, PowerPoint) and virtual meeting platforms (e.g., Zoom, MS Teams).
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Customer service orientation with a collaborative mindset.
- Understanding of learning and development processes & systems.
